This privacy policy (together with our Terms and Conditions of Service and any other documents referred to in this policy) sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it. For the purpose of the Data Protection Acts 1988 and 2003 (the "Acts"), the data controller is Ex Ordo Limited of Galway Technology Centre, Mervue Business Park, Galway, Ireland, trading as PaperCrowd. PaperCrowd is a registered business name of Ex Ordo Limited.
Information you give us. This is information about you that you give us by filling in forms on our site www.papercrowd.com ("our site") or by creating and updating any personal profile on our site (or any other site operated by us, e.g., www.exordo.com ) or by corresponding with us by phone, e-mail or otherwise. It includes information you provide when you register to use our site, subscribe to our service, search for a conference or other event, registered to attend a conference or other event, place an order on our site, participate in discussion boards or other social media functions on our site, and when you report a problem with our site. The information you give us may include your name, address, e-mail address and phone number, personal description, photograph and professional affiliations.
Information we receive from other sources. This is information we receive about you if you use any of the other websites we operate (including, but not limited, the www.exordo.com website, or the other services we provide. In this case we will have informed you when we collected that data if we intend to share those data internally and combine it with data collected on this site. We will also have told you for what purpose we will share and combine your data. We work closely with third parties (including, for example, business partners, sub-contractors in technical, payment and delivery services, organisers of academic conferences and events, advertising networks, analytics providers, search information providers, credit reference agencies).
Our site uses cookies to distinguish you from other users of our site. “Cookie” technology is customarily used to gather statistical information and to analyse trends of use or access to a website. A cookie is a small text file stored by the browser on your computer at the request of our web page server. Cookies cannot be used to run programs or deliver viruses to your computer. Cookies may be used to save your personal preferences so you do not have to re-enter them each time you access our site. Our cookies will record the number of user sessions on our site and track the number of users who return to our site. Information we receive from other sources. We will combine this information with information you give to us and information we collect about you. We will use this information and the combined information for the purposes set out above (depending on the types of information we receive).

Any member of our group of companies, which means our subsidiaries, our ultimate holding company and its subsidiaries, as defined in sections 7 and 8 of the Companies Act 2014.
The data that we collect from you may be transferred to, and stored at, a destination outside the European Economic Area ("EEA"). It may also be processed by persons operating outside the EEA who work for us or for one of our suppliers. This includes staff engaged in, among other things, the fulfilment of your order, the processing of your payment details and the provision of support services. By submitting your personal data, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.
Keeping your data safe and secure is important to us. To help ensure maximum security we manage our own servers. Ex Ordo employees are the only people authorised to access the data on the servers. Ex Ordo servers are located in a data centre in Germany (operated by Hetzner) and as such they are governed by European and German data protection and intellectual property laws. Access to the data centre and server rooms is restricted. Written authorisation and photo ID is required to access the data centre and server room. All visitors to the server rooms must be escorted by a Hetzner employee at all times. Entrances and server rooms are monitored by CCTV.
In the event of a power failure, our servers are backed by an uninterrupted power supply (with a guaranteed 15 minute battery capacity) and emergency diesel-generated power. Multiple redundant connections to the largest German internet exchange point, DE-CIX, ensure smooth data transfer and maximum network uptime.
We utilise RAID1 disk mirroring on all servers to help prevent data loss in the event of a hard drive failure. In addition to the redundancy we get from RAID, we also back up all your data to an off-site location (Ireland) on a nightly basis.
Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.
Unfortunately however, and despite all our reasonable efforts, the transmission of information via the internet is never completely secure. Although we will do our best to protect your personal data, we make no representations, warranties or guarantees as to the security of your data transmitted to our site or any other information transmitted to or by us over the internet. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access but any transmission is at your own risk.
Our site may, from time to time, contain links to and from the websites of our conference or other event organisers, partner networks, advertisers and affiliates. If you follow a link to any of these websites, please note that these websites have their own privacy policies and privacy practices and that we do not accept any responsibility or liability for these policies or practices. For the avoidance of doubt, we are not responsible for the actions of any individual conference organiser with regard to your information. Please check these policies before you submit any personal data to these websites.
If you think that the details we have about you are not factually correct, you can ask us to change or, in some cases, to remove these details. If you feel that we do not have a valid reason for holding your personal information or that we have obtained your personal information in an unfair way, you can ask us to change or remove these details. In both cases, you should contact us as soon as possible at help@papercrowd.com explaining your concerns or outlining which details are incorrect.
You have the right to ask us not to process your personal data for marketing purposes. We will usually inform you (before collecting your data) if we intend to use your data for such purposes or if we intend to disclose your information to any third party for such purposes. You can exercise your right to prevent such processing by unsubscribing at any time. You can also exercise this right at any time by contacting us at help@papercrowd.com.
We do not aggregate (gather up data across all user accounts) information and provide information in a non-personally identifiable manner to advertisers and other third parties for promotional purposes.
The Acts give you the right to access information we hold about you. Your right of access can be exercised in accordance with the Acts.
